Listings 101

What You Need

  • Listing agreement
  • Data Forms [not required for exclusive listings]
  • Working With a Realtor [Commercial listings require Working With a Commercial Realtor]
  • Appointment instructions
  • Photos, if available [maximum of 40 photos for TREB] – please specify which photos and in which order (photos are mandatory for any listing being loaded to ITSO)
  • FINTRAC  [required for Sale listings only] (Including own listing)
  • Disclosure [if you are selling or leasing your own property, or representing an immediate family member]


NOTE: All forms must be current and up-to-date! Forms can be found in the bullpen cabinet in the loose forms section, in the pre-made packages or on Web Forms. Appointment instructions can be provided on the in-house sheet found in the bullpen and packages, or sent by email or given over the phone. A list of forms and their corresponding numbers are included at the bottom of this document.

 

The following fields must always match from the Listing Agreement to the Data Forms:

  • Property Address [including unit numbers]
  • Seller[s]/Landlord[s] names
  • Price [including the written out version on the Listing Agreement]
  • Holdover days
  • Co-op commission
  • Contract commencement and expiry dates
  • Company name must read “Royal LePage Signature Realty”

 

Total commission refers to the overall commission decided between you and your client(s)—the amount going to you, AND the amount going to the co-op agent!

Your client(s) must sign/initial in all appropriate areas! If something is crossed out on either the Listing Agreement or Data Forms, they must initial that spot. If there is more than one Seller/ Landlord, each person must sign/initial the documents.

Contract length is 60 days at minimum, otherwise it would be considered as an Exclusive listing, and would not appear on TRREB. Contracts can be signed in advance, but the commencement date on both forms will be the date the listing is to go live.

Anything on the data form that is highlighted is a mandatory field – without this information, the listing cannot be loaded.

If a listing cannot be shown for 2 (Two) or more days, it must be immediately suspended. As soon as a listing goes live on TRREB, it must be immediately available for showings, as per TRREB rules.

If you wish to cancel and relist, a brand new Listing Agreement must be provided. However, the data form can be used again (provided it is still current!) – you would just cross out the old information (dates, price, etc.) and have your client(s) initial the changes.

** TRREB does not permit a Cancel & Relist within 60 days of the original commencement date

  • Price change
  • Expiry date change
  • Commission change

If you wish to load your own listing, please provide all listing documents as soon as possible! Schedule B is required for all listings (Residential Sale, Residential Lease, Commercial Sale and Commercial Lease), whereas Form 801 (Offer Summary Document) is only needed for sale listings.

Listing Agreement, Data Forms and FINTRAC ID (for Sale) are still mandatory; however, you do not require Working With a Realtor  If your spouse, etc. is on title as well, they will require Working With a Realtor. Disclosures are mandatory, indicating that you have an interest in the property.

Each board has its own set of rules, standards and pricing. Please contact the MLS office for interboarding packages. Data forms for each board can be found using Webforms. Simply click “Change Board” at the top of the page, and select which board you need!

If you wish to advertise a listing from our office, you must ask permission from the listing agent first.
